Pastoral Administration Assistant 

Hours:                             12.50 per week

Salary:                             NJE Grade 3, scale point 5-7                £25,583 - £26,403pa (pro rata)

The children, staff, and Governors of William Lilley Infant & Nursery School are seeking to appoint a dedicated and compassionate Pastoral Administration Assistant to join our team. This is a permanent role offering the opportunity to make a meaningful difference in the lives of our pupils and their families.

You will play a vital part in supporting the wellbeing and safeguarding of our children, working closely with the Designated Safeguarding Lead (DSL) team, Senior Leadership Team (SLT), and external agencies. This role combines administrative precision with emotional intelligence, helping to coordinate support for vulnerable pupils and their families.

This vacancy is for 12.5 hours per week with flexibility to negotiate working days and hours across the school year. 

Key Responsibilities Include

  • being a proactive member of the DSL team;
  • attending safeguarding, early help, attendance and any other relevant training for the role; acting upon advice, disseminating and presenting information to the SLT;
  • liaising with and supporting the SLT and Governors to prepare policies, Local Authority returns, compliance checklists and information relevant to vulnerable groups;
  • supporting the administration of vulnerable pupils and their families including, but not limited, to Pupil Premium, LAC, SEND and children with a social worker;
  • liaising with the community and external agencies as directed to coordinate support to secure the wellbeing of targeted children and their families;
  • advising and supporting colleagues to recognise risk factors and provide updated information;
  • leading the administration and training of CPOMs recording system;
  • monitoring potential risk factors such as attendance, lateness, parental engagement to recognise patterns and report these to the safeguarding team;
  • providing practical help and emotional support to families at particular times of crisis;
  • championing good attendance by monitoring attendance, highlighting patterns and concerns to the SLT and supporting in the implementation of whole-school attendance procedures.
  • overseeing SEND administration and advising colleagues of upcoming deadlines and processes;
  • administration of pupil SEND files, including updating and maintaining files, minuting meetings, sharing of information with stakeholders and coordinating submission of reports;

  • has an understanding of the needs of pupils and families in times of need;
  • understands the issues around keeping children safe;
  • has experience of administration roles and leading processes;
  • is proactive in keeping school informed of updated guidelines, processes and policies
  • can communicate effectively with a wide range of groups and individuals;
  • can work creatively in partnership with pupils, families, staff, and external agencies.
